At Pavago, one of our clients is hiring an Executive Assistant to provide high-level support to the CEO of a well-established commercial furniture manufacturer’s representative group serving six U.S. states.

This is more than a traditional administrative role.

You’ll serve as the CEO’s trusted partner—managing executive priorities, coordinating communication, overseeing calendars, supporting proposals, maintaining CRM data, and improving day-to-day business operations.

What You’ll Own

The Opportunity

KnowBe4’s Chief Growth Officer leads the company’s global commercial organization — sales, growth, and go-to-market teams spanning North America, EMEA, APAC, and Latin America — through a defining growth phase. This role is the operational backbone of that office.

This role is designed for an experienced operator rather than a traditional support professional: someone who brings structure to ambiguity and returns with a plan and a recommendation. You will operate at the pace of the executive you support, across every time zone the business touches, with a high degree of autonomy and trust.

What You’ll Own

SUMMARY

This position supports the Expedition Leader as they deliver a thematic, and well-executed guest experience by providing inspired leadership, and operational and administrative support for guests and staff while upholding the guiding principles of Lindblad Expeditions. The Field Based Assistant Expedition Leader (AEL) assists with the coordination of expedition and land operations, manages the Field Staff shipboard spaces, oversees basic accounting of expedition funds, and ensures the ships have all necessary expedition equipment. This position may also assist in the field assisting with safe operations. The AEL is also a key liaison between Lindblad Expeditions’ New York and Seattle offices, guests, and shipboard personnel.  The position is responsible for upholding Field Staff policies and procedures on board with the oversight of the Expedition Leader and the Field Staff Manager.

The position should expect varying hours each day, based on the itinerary.  It is essential that this person has excellent social skills as they will be expected to dine with guests and work in a multi-national environment, and live in close quarters.

For the Field Based Assistant Expedition Leader role, we are looking for candidates with expedition ship expertise specifically in High Arctic regions (Svalbard, Greenland and Arctic Canada), and can only consider applicants who meet the requirements indicated under Eligibility for Contract.

ESSENTIAL DUTIES

  • The position must be able to perform each essential duty satisfactorily.  Additional duties may be added at any time.
  • Customer Service – Facilitate guest requests and arrangements daily.
  • Assist the Expedition Leader with all guest-related logistics, including disembarkation for operations.
  • Communicate with land agents for confirmation of tour arrangements and special needs, and with Lindblad Expeditions’ office personnel, hotel manager, or doctor regarding guest arrangements (e.g. cabin upgrades, special dietary needs & medical conditions). Also communicate all guest requests to the office in a timely manner and keeping the guest abreast of the situation.
  • Answer daily communication/information requests from the office in a timely manner.
  • Be present in the Mud Room/Basecamp, lounge, dining room, or reception at appropriate times and responding to requests in a timely manner, as necessary.
  • Eat meals with guests and make an effort to dine with a variety of people over the course of each voyage.
  • Medical Evacuation- The position is the key person regarding facilitation of a medical evacuation for guests while they are on the ship.
    • The position must communicate the situation and collect information effectively for the office and insurance company, while liaising with the Captain, Expedition Leader, Doctor, and Shoreside team for patient guest needs and appropriate means of transportation off the ship.
    • The AEL may be required to escort or assign a staff member to escort the guest to the hospital or spend time away from the ship to secure a safe and reliable evacuation.
  • Guest Arrival/Departure- Supervise group airport transfers, individual guest transfers, luggage transfer, and general departure arrangements.
  • Create and communicate staff berthing assignments for each voyage and oversees the voyage daily staff duty sign-ups.
  • Edit daily programs.
  • Oversee the Basecamp Coordinator (BCC) role, which manages gear inventory, expeditions accounts, and expedition spaces onboard.
  • Assist expedition operations by driving Zodiacs, manage beach landings, lead hikes, occasionally offer interpretation, and act as a point person for staff in the field.

ELIGIBILITY FOR CONTRACT

  • A minimum of at least 150 days of expedition ship experience operating in High Arctic regions (Svalbard, Greenland and Arctic Canada).
  • Significant and relevant experience; prior experience on expedition ships strongly preferred.
  • Bachelor’s degree or four years of work experience in related industry. Previous management experience is highly desirable.  Two years minimum customer service background.
  • Computer experience with Microsoft Office. Experience with other computer management programs preferred.

  • Inflatable Boat Operations- The position should be prepared to assist with many aspects of inflatable boat operations for shore excursions. Familiarity with inflatable boats, such as Zodiacs, and ability to drive is a strong preference. If a US-citizen, a USCG license to drive inflatable boats is preferred.
  • Safety- The position should be prepared to participate in on-board safety training, meetings and drills, including abandon ship and fire drills. Will also participate in shore-based education as required by the Company.

The Opportunity

KnowBe4’s Chief Growth Officer leads the company’s global commercial organization — sales, growth, and go-to-market teams spanning North America, EMEA, APAC, and Latin America — through a defining growth phase. This role is the operational backbone of that office.

This role is designed for an experienced operator rather than a traditional support professional: someone who brings structure to ambiguity and returns with a plan and a recommendation. You will operate at the pace of the executive you support, across every time zone the business touches, with a high degree of autonomy and trust.

What You’ll Own

  • The operating rhythm of the CGO’s office: Treat the calendar as a strategic asset, not a scheduling task. Sequence priorities across global time zones, protect focus time, and ensure every hour maps to what matters most.
  • Action items, end to end: Capture commitments from meetings, own the follow-through, drive owners to resolution, and close the loop proactively. You ensure complete follow-through on every commitment.
  • Meeting architecture: Prepare agendas, pre-reads, and briefing materials; ensure the CGO walks into every room ready; drive post-meeting execution.

  • Minimum 2-3 years of experience implementing and supporting Workday Payroll, Absence Management, and/or Time Tracking modules
  • Strong understanding of absence plans, time entry templates, time calculations, and scheduling complexity
  • Strong understanding of payroll processes, time entry design, and payroll accounting/GL posting
  • Experience with Workday implementation tools (Enterprise Interface Builder (EIB), Workday Studio, Workday Report Writer, Core Connectors, Cloud Connect, and iLoad) preferred

Harney & Sons has been making and selling fine tea from Millerton, New York for over four decades. We are family-owned, we are growing, and we run our business through a single ERP system: tea production and blending, direct-store-delivery truck distribution, a Shopify storefront, and wholesale accounts across the country and overseas.

This role sits at the center of that. You will work inside SAP Business One to build the processes, reports, and tools the business runs on, and you will learn how tea gets blended, packed, loaded onto a truck, and delivered.

What you will do

  • Develop and maintain processes in SAP Business One to support and streamline business operations..
  • Build, test, and maintain automated workflows and integrations that move data between SAP Business One and the other systems in the tech stack, including writing the SQL and scripts they depend on.
  • Continually validate results of queries, workflows, dashboards, and other automations to ensure that business decisions are being made with accurate information. 
  • Analyze operational data to surface trends and track down anomalies, then explain what you found.

  • A testing instinct. When you build something that moves data, you should already be wondering how you would prove it moved the data correctly.

Helpful, but not required

  • ERP exposure. Any system counts: SAP Business One, NetSuite, Dynamics, Acumatica, Epicor, or even a warehouse or accounting system you had to bend to your will.
  • Integration or workflow automation platforms. Any low-code tool where you assemble a data flow visually but still write the logic and the queries underneath it.
  • SAP Business One Service Layer or DI API, or any ERP’s API for reading and writing records programmatically.
  • Reporting tools. Power BI, Tableau, or similar.
  • Crystal Reports or SAP Business One Query Manager.

  • Review vendor performance, deliverables, key performance metrics, and governance activities to ensure contractual obligations and study expectations are met
  • Collaborate with Supply Chain, CROs, and external vendors to support investigational product, laboratory, sample management, and study supply logistics
  • Review and verify service provider deliverables and operational activities for quality and timeliness

Data Review and Quality Oversight

  • Perform ongoing Sponsor data review to identify trends and support query management, protocol deviation review, safety review, and issue resolution
  • Review monitoring visit reports and, as appropriate, participate in co-monitoring, monitoring, or oversight visits.
  • Support oversight of clinical site performance through review of study metrics, monitoring data, and trends
  • Ensure all trial operations are executed within timelines and budgets while adhering to ICH-GCP, applicable regulations, and company procedures

Trial Master File and Inspection Readiness

  • Maintain and oversee the Trial Master File (TMF), ensuring completeness, quality, and continuous inspection readiness
  • Review and/or approve site-specific documents, including informed consent forms, site budgets, monitoring reports, and other study documentation
  • Support the preparation, conduct, and follow-up of audits and inspections, including site, vendor, and internal quality audits

Cross-Functional Collaboration

  • Provide timely updates on trial progress, operational risks, and mitigation strategies to stakeholders
  • Support the development and implementation of study training for investigators, site staff, and internal teams
  • Collaborate effectively with Clinical Development, Data Management, Biostatistics, Regulatory Affairs, Medical Monitoring, Drug Supply, Quality Assurance, Safety, and other cross-functional partners to ensure successful trial execution
  • Support Clinical Operations process improvements, infrastructure development, and other strategic initiatives as assigned

Requirements :

  • BS degree in the life sciences with a minimum of 6+ years in Clinical Operations, with a MS degree in the life sciences with a minimum of 4+ years of Clinical Operations experience
  • 3 years of Sponsor Clinical Trial Management experience
  • Experience supporting complex global Phase III clinical trials
  • Cell therapy or Oncology Experience
  • Strong understanding of ICH-GCP, FDA, EMA, and applicable global regulatory requirements
  • Demonstrated proficiency in technology use, documentation practices, and sound business acumen
  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, and SharePoint)
  • Strong attention to detail and a commitment to producing high-quality work
  • Excellent written and verbal communication and interpersonal skills
  • Ability to travel up to 20% based on business needs
